Creating an Invoice (form details)<\/h2>\n\n\n\n

To create an invoice:<\/p>\n\n\n\n

    \n
  1. Go to Invoicing > List Invoices<\/strong>.<\/li>\n\n\n\n
  2. Click on the Create New<\/strong> button<\/li>\n\n\n\n
  3. Select whether you are creating an Invoice or Quote\n
      \n
    • Invoices<\/strong> are automatically populated from the following information entered into FunctionFox:\n
        \n
      • Tasks and Rates<\/li>\n\n\n\n
      • Timesheet Entries<\/li>\n\n\n\n
      • Project Costs<\/li>\n<\/ul>\n<\/li>\n\n\n\n
      • Quotes<\/strong> are automatically populated from the following information entered into FunctionFox:\n
          \n
        • Tasks and Rates<\/li>\n\n\n\n
        • Estimate Hours<\/li>\n\n\n\n
        • Estimate Project Costs<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<\/li>\n\n\n\n
        • Select a predefined date range from the drop down list, or choose custom to select specific dates.\n
            \n
          • For Invoices this will include time entries and Project costs entered within the selected dates <\/li>\n\n\n\n
          • For Quotes this will include Project costs entered within the selected dates.<\/li>\n<\/ul>\n<\/li>\n\n\n\n
          • Select the To (Client)<\/strong> the invoice will be addressed to.
            • Note: If you do not have any addresses in this list you can add\/link contacts to the Client by clicking on the contact details tab within the modal.<\/em><\/li><\/ul>\"\"<\/li>\n\n\n\n
            • Select the From<\/strong> address, by default this will be the address used in your contact information under Account Settings.\n
                \n
              • Note: You can add addtional from addresses within the contact details table within the modal.<\/em><\/li>\n<\/ul>\n<\/li>\n\n\n\n
              • Invoice Number<\/strong> will be automatically populated for you, but can be manually overridden (you can further customize your invoice numbering under Account Preferences > Invoicing).<\/li>\n\n\n\n
              • Choose to filter your project selection by status<\/strong>.<\/li>\n\n\n\n
              • Select the Project(s)<\/strong> you wish to include on your invoice.

              • Choose to include<\/strong>:\n
                  \n
                • Date Range<\/li>\n\n\n\n
                • Details<\/li>\n\n\n\n
                • Only Project Costs<\/li>\n\n\n\n
                • Project Costs<\/li>\n\n\n\n
                • Projects with Zero Costs (Invoices)<\/li>\n\n\n\n
                • Projects with Zero Estimated Costs (Quotes)<\/li>\n\n\n\n
                • Projects with Zero Time (Invoices)<\/li>\n\n\n\n
                • Projects with Zero Estimated Time (Quotes)<\/li>\n\n\n\n
                • Scope<\/li>\n<\/ul>\n<\/li>\n\n\n\n
                • Choose to hide<\/strong>:\n
                    \n
                  • Rates:<\/strong> when hidden, rates will appear in edit mode of the invoice (grayed out) but will not appear on the saved client facing version.<\/li>\n\n\n\n
                  • Quantity:<\/strong> when hidden, quantities will appear in edit mode of the invoice (grayed out) but will not appear on the saved client facing version.<\/li>\n\n\n\n
                  • Subtotals<\/strong><\/li>\n<\/ul>\n<\/li>\n\n\n\n
                  • Select which Taxes<\/strong> to apply. Click on the word Taxes<\/strong> to add your applicable taxes.<\/li>\n\n\n\n
                  • Click Submit<\/strong> to access the edit mode of your invoice.<\/li>\n<\/ol>\n\n\n\n

                    Create Invoice (edit mode)<\/h2>\n\n\n\n

                    After you have submitted your invoice details from the Create Invoice form, you will be brought to the edit mode of your invoice.

                    Editable fields include:<\/p>\n\n\n\n

                      \n
                    • Invoice Number<\/strong>: you can add additional information and\/or change the invoice number.
                      \"\"<\/li>\n\n\n\n
                    • Issued<\/strong> and Due Dates<\/strong><\/li>\n\n\n\n
                    • Address To<\/strong> and From<\/strong> fields<\/li>\n\n\n\n
                    • Project Name<\/strong> and Scope<\/strong><\/li>\n\n\n\n
                    • Task\/Cost, Quantity,<\/strong> and Rate<\/strong> – you can choose to collapse the entire task section by clicking on the icon beside the project name.
                      \"\"<\/li>\n<\/ul>\n\n\n\n

                      Other Functions:<\/p>\n\n\n\n

                        \n
                      • Add\/Remove line items:<\/strong> click on the Add Fee\/Add cost link, or remove an item by clicking on the X.<\/li>\n\n\n\n
                      • Taxable items:<\/strong> you can choose to not apply your taxes to a specific line item by un-checking the checkbox next to the item.

                        Once you are happy with your invoice, click on the Save<\/strong> button at the bottom right of the page.
                        \"\"<\/p>\n\n\n\n

                        Note: <\/strong>the edits made to Tasks and Costs on your invoice will not affect any of the actual entries within FunctionFox.<\/p>\n\n\n\n

                        Viewing Invoices<\/h2>\n\n\n\n

                        Once you have saved your Invoice\/Quote, it will appear within the List Invoice<\/strong> table.<\/p>\n\n\n\n

                        Here you can:<\/p>\n\n\n\n

                          \n
                        • Search for a term\/value within the table.<\/li>\n\n\n\n
                        • Filter by Client Name<\/strong><\/li>\n\n\n\n
                        • Filter by Stage<\/strong> – by default any newly created invoice will have a stage of Unpaid<\/li>\n\n\n\n
                        • Filter by Invoice Type<\/li>\n\n\n\n
                        • Choose to show:
                          • Active InvoicesOverdue Invoices OnlyArchived Only<\/li><\/ul>\"\"<\/li>\n<\/ul>\n\n\n\n

                            Editing Invoices<\/h2>\n\n\n\n

                            You can edit existing invoices by:<\/p>\n\n\n\n

                              \n
                            1. Clicking on Menu > Edit<\/strong>

                            2. Make the desired edits in the invoice edit mode.<\/li>\n\n\n\n
                            3. Click Save<\/li>\n<\/ol>\n\n\n\n

                              Deleting\/ Archiving Invoices<\/h2>\n\n\n\n

                              When viewing your invoices on the Invoicing > View Invoice page, you can either:<\/p>\n\n\n\n

                                \n
                              1. Delete the Invoice\/Quote by clicking on the delete icon.<\/li>\n\n\n\n
                              2. Archive the Invoice\/Quote by clicking on Menu > Archive<\/strong><\/li>\n<\/ol>\n\n\n\n

                                View Details<\/h2>\n\n\n\n

                                You can access a quick view of your invoice details on the View Invoices page by clicking on Menu > Details<\/strong> for the Invoice\/Quote you wish to see.

                                Click on the View\/Add Payments link to access a feature that allows you to enter in a payment history for your Invoice. (Note: these payments will only be viewable from the Invoice Report)<\/p>\n\n\n\n

                                Other Viewing Formats<\/h2>\n\n\n\n
